THE PRACTICAL GUIDES
AI voice agents in Australia: brief the calls and human handover
An AI phone receptionist needs a precise job description. Capturing a caller's details, offering a booking and changing an existing customer record involve different permissions. Before choosing a supplier, define which calls the agent may handle, what it may promise and where a person takes over.
This guide helps an Australian business brief a supplier for inbound voice handling. It focuses on the phone conversation and its operational handover. For broader supplier selection, see choosing an AI consultant; browse implementation providers for the existing directory inventory.
Start with a narrow call queue
Take a hypothetical trades business whose office misses routine quote enquiries while staff are on site. Its first scope might collect the caller's name, callback number, service area and requested job type, then create a callback task. It need not quote a price, diagnose a fault or guarantee a tradesperson's arrival.
Write the handover state explicitly: “enquiry recorded for the office” is different from “appointment confirmed in the calendar”. If the caller asks for something outside the approved scope, the expected result can be a clear transfer or callback request. Include business hours and the fallback when nobody answers a transfer.
Three published offers to discuss
| Existing provider | Published service focus | Useful proposal question |
|---|---|---|
| AI Collab | Voice agents for enquiry capture, qualification and booking, with system integration and human handover. | What happens when a required field is missing or a caller asks for a person? |
| Advancer | Phone answering with calendar booking, call summaries, alerts and CRM connections. | Which actions work with our exact systems, and what does the continuing agreement cover? |
| Transcend AI Partners | Voice agents alongside custom automation and integration with existing business systems. | Which call scenarios, exclusions and acceptance criteria will be written into scope? |
These descriptions come from AI Collab's voice page, Advancer's voice service and Transcend's published offer. They establish advertised services, not independent evidence of answer rates, booking accuracy or return on investment. Ask for a demonstration against your own fictional scenarios and a written proposal for the exact integrations.
Advancer's reviewed page states that all plans have 12-month agreements. Clarify renewal, termination, changes and number ownership before treating a demonstration as the complete offer. Transcend's separately advertised AI review price is not a voice-agent implementation quote. No like-for-like implementation fee was established across these three offers.
Write the permissions into the brief
For each call type, name the information the agent can read and the action it can take. Creating a new enquiry can be an initial permission. Cancelling an existing appointment needs a separate identity check and authorisation rule. A caller knowing somebody's name should not, by itself, grant permission to alter that person's booking.
For calendar access, specify service duration, staff availability, travel buffers, time zone and whether a booking is provisional or final. For CRM access, specify required fields, duplicate handling and where an incomplete call goes. Agree who owns the approved business facts and how corrected opening hours or prices reach the agent.
Also agree the greeting, how the caller is told they are speaking with AI, and how a person can be requested. Decide whether audio is recorded, which transcripts or summaries are retained, where they are stored, who can read them and when they are deleted. Confirm the applicable notice and privacy requirements with the people responsible for them in your organisation.
Use a fictional call pack before switching a real queue
The following is an original acceptance exercise for the hypothetical trades business. It uses invented people, addresses and appointments. Agree the expected outcome with the supplier before running any approved trial.
- Normal enquiry: a caller asks for a quote next week. Required details reach the correct queue, with no invented price or attendance promise.
- Unclear location: the caller gives an ambiguous suburb or an incomplete address. The agent asks for clarification or routes it for review.
- Existing booking change: the caller wants to cancel another person's appointment. The system follows the agreed verification and permission rules.
- System unavailable: the calendar cannot be reached. The agent records a request and describes it accurately rather than claiming a confirmed booking.
- Human requested: the caller asks for a person after hours. A failed transfer produces an assigned callback task with the agreed priority.
Keep a result for each scenario: expected outcome, actual system record, any incorrect promise, owner and fix. Review both the conversation and the downstream record. A natural-sounding greeting does not prove that the booking, permissions and fallback worked. Repeat corrected cases before widening the call queue.
Compare the whole operating cost
Ask each supplier to price the same monthly call-volume assumption and call-length distribution. Separate setup, platform subscription, included minutes, excess minutes, phone numbers, transfers, SMS, integrations, transcript storage and continuing changes. Ask whether prices include GST and what happens during a busy month.
Include the team's work too: reviewing uncertain calls, returning messages and keeping the knowledge current. Measure correct completed handovers and unresolved callbacks alongside calls answered. An answered call that creates the wrong appointment still needs staff effort. Keep the existing phone route available until the agreed acceptance and recovery checks pass.
